How to Switch Card Machine Providers UK: Contracts & Costs

How to Switch Card Machine Providers

Quick answer: Check your current agreement and written exit costs, compare replacement providers using the same payment volumes, obtain a provider assessment, and plan approval, equipment, integration and testing before the cutover. Notice periods, costs and completion times depend on the agreements and the proposed setup.

Considering a Card Machine Provider Switch?

Tell us your current provider, approximate monthly card turnover, number of terminals, contract end date if known, and the main reason for switching. Add these details to the enquiry form’s message box.

Request a Provider Switching Assessment

Read client feedback and experiences.

Guide reviewed: 13 October 2026. Numerical examples are hypothetical, not current provider quotes. Confirm the terms applicable to your business in writing.

Why Businesses Switch Providers

Common reasons to review a payment setup include total fees, support, unreliable equipment, settlement, integration, changed trading volumes or a contract approaching renewal. Compare the full service and contract rather than assuming a lower headline rate means a better overall arrangement.

When Switching Makes Financial Sense

Compare the estimated cost of staying with the estimated cost of switching over the same period. Include recurring fees, equipment, setup, exit costs, overlap charges and staff or integration work.

Hypothetical example: current included costs of £280 a month versus replacement costs of £195 give a monthly difference of £85, or £1,020 over 12 months. Assume £200 exit costs, £150 equipment and four hours of staff time valued at £25 an hour: one-off costs total £450.

Illustrative first-year difference: £1,020 − £450 = £570. Simple payback on those one-off costs is £450 ÷ £85, or approximately 5.3 months. This excludes VAT, overlap costs and unlisted charges. There is no universal saving amount at which every business should switch.

Step 1: Review Your Current Contract

Identify each agreement involved: acquiring, terminal hire, gateway, software and any separate finance or service agreement. Ending one does not necessarily end the others.

  • Initial term, expiry, renewal and notice requirements.
  • Required notice method, recipient and account references.
  • Written exit-cost calculation and its assumptions.
  • Terminal ownership, return arrangements, accessories and condition requirements.
  • Outstanding settlements, refunds, reserves, disputes and access to historical reports.

Request missing documents and written clarification from your provider. Use the agreement applicable to your account, rather than a generic notice period from an online guide. For example, Worldpay publishes merchant-services terms and associated documents; your own signed agreement and pricing schedule still need checking.

Switching Mid-Contract and Contract-Buyout Offers

If you are considering an early exit, establish the contractual route and cost before committing to a replacement. If a new provider offers reimbursement or a contract buyout, ask for the cap, eligible costs, evidence, payment timing, minimum new commitment and any repayment conditions in writing. Do not assume every provider offers one or that all old obligations are covered.

Step 2: Research and Compare New Providers

Use recent processing figures where available: turnover, transaction count, average value, card mix, refunds and disputes. Describe your sector, payment channels, terminal quantity, locations, connectivity and required EPOS, website or accounting integrations.

  • Calculate complete costs for the same volumes and comparison period.
  • Check support arrangements, equipment features and integration compatibility.
  • Confirm settlement, reserve, contract and price-change terms.
  • Ask what is provisional and what remains subject to underwriting.

Use our UK card machine comparison and merchant-account fee guide to structure the comparison. Turnover alone does not establish the cheapest route or approval eligibility.

Step 3: Plan Notice and Cutover Dates

Coordinate the old agreement’s notice requirements with the new provider’s assessment, approval and setup plan. Establish replacement readiness before choosing an irreversible closure date. If the timetable changes, ask whether the current provider will agree to an amended date; do not assume notice can be withdrawn automatically.

What to Confirm in Writing

  • Receipt of notice through the method required by the agreement.
  • Agreed service end date and transaction cut-off.
  • Final charges, settlement arrangements and any retained funds.
  • Equipment return address, deadline and reference.
  • Access to reports and handling of later refunds or disputes.

Keep the notice, acknowledgements and relevant account references. A proposed retention offer should be compared on complete written terms, including any new commitment or temporary discount.

Step 4: Set Up the New Provider Account

Supply the documents and trading information requested for the declared business. Provider assessment, approval, terminal availability, delivery and integration determine the timetable; this guide does not promise a fixed number of days.

  • Confirm the approved business model, channels, locations and limits.
  • Confirm the settlement bank details through the provider’s authorised process.
  • Check equipment, connectivity, payment methods and integration requirements.
  • Follow the provider’s activation and testing instructions.

Step 5: Manage the Transition

Build a cutover plan with named responsibilities and checks for each location. Choose a suitable trading period and agree what happens if the new setup is not ready.

Testing and Overlap

  • Test applicable payments, receipts, refunds, reporting and integrations.
  • Verify the settlement process and reconcile the test activity as instructed.
  • Train staff on normal payments, errors, refunds and support contacts.
  • Where both agreements permit an overlap, assess its costs and operational value.
  • Agree a supported fallback with the providers and document its activation steps.

An overlap can provide a contingency, but it does not establish that processing will be uninterrupted. Its length and cost depend on the accounts, equipment, minimum charges and activity. Do not assume a new backup account is approved or operational immediately.

Step 6: Update Business Systems and Information

Check EPOS, ecommerce checkout, accounting exports, reconciliation, receipts, descriptors, reporting and staff procedures. Retain historical reports and agree how transactions taken on the old system will be refunded or disputed after the switch.

Recurring Payments and Saved Cards

Stored payment information does not automatically move with a terminal or gateway switch. A managed transfer may be possible where both providers support it. Stripe documents secure imports and exports of customer records with associated payment data.

Ask both providers which records, payment methods and tokens are supported, how subscriptions and identifiers must be remapped, and whether customers need to update payment details. Arrange sensitive payment-data transfers through the authorised provider teams. Historical transactions and subscription settings need separate consideration.

If direct debits or other payment methods are also changing, assess their migration separately. Communicate any change in the customer payment journey, billing descriptor or action customers need to take.

Step 7: Return Old Equipment (If Applicable)

Confirm ownership and the current provider’s return instructions. Record serial numbers and condition, return the required accessories, retain tracking and obtain written confirmation of receipt and account treatment.

Whether purchased equipment can be reused depends on the model, certification, software and the new provider’s support. Ask both providers before assuming it must be replaced or can be reprogrammed.

Step 8: Monitor and Review

Compare actual fees with the quote using the same turnover and transaction categories. Check settlement, reconciliation, connectivity, refunds, disputes and staff feedback. Escalate unexpected charges or operational issues using the provider’s support process.

Revisit the financial comparison after the first complete reporting period. Actual costs and any saving may differ from the initial estimates.

Common Switching Challenges and Solutions

  • Exit costs outweigh the benefit: compare an early switch with waiting until an appropriate contract date.
  • The new provider declines or needs more evidence: review the reason and assess alternatives before closing the current route.
  • Integration or migration is unsupported: establish a tested alternative or choose a better-fitting setup.
  • Equipment or settlement testing fails: use the agreed contingency and revise the cutover with the providers.
  • A cancellation date needs changing: seek written agreement rather than assuming the notice is reversible.

When to Pause a Switch

Pause where the exit cost is unclear, the replacement is not approved, a critical integration has not been tested, recurring-payment migration is unresolved or the commercial case remains uncertain. Resolve those points before choosing the final cutover date.

Using Payment Consultants for Switching

We Tranxact is an independent payments consultancy and broker. We help businesses describe their requirements, assess relevant provider routes, compare written costs and coordinate application and transition questions. Approval, commercial terms and technical migration remain subject to the providers and the proposed setup.

For an initial review, share the current provider, sector, approximate card turnover, terminal requirements, contract dates if known and what you want to improve.

Switching Providers – Frequently Asked Questions

How long does it take to switch card machine providers?

The timetable depends on contractual notice, provider assessment, approval, equipment, integration, testing and any data migration. Obtain a plan for your accounts rather than relying on a universal 30–90-day estimate.

Will I lose money during the switch?

A switch can create costs or disruption. Include exit, setup, equipment, staff, integration and overlap costs in the comparison, and plan testing and contingencies. A saving or uninterrupted service is not promised.

Can I keep my old card machine terminals?

Ownership, rental obligations and compatibility determine this. Check the old provider’s return terms and ask the new provider whether it supports the specific model and software.

What happens to recurring payments when I switch?

Ask both providers whether a managed payment-data migration is supported and how subscriptions, identifiers and customer updates will be handled. Stored details do not transfer automatically, but secure provider-managed transfers can be possible.

How much does it cost to switch providers early?

Check the agreements and request a written exit-cost calculation. Include terminal hire or separate service agreements, setup, migration and any overlap costs. There is no universal early-exit tariff.

Can I negotiate with my current provider to avoid switching?

You can request a revised proposal. Compare the complete written terms, discount duration and any renewed commitment against the available alternatives; a concession is not assured.

What if the new provider declines my application?

Review the stated reason and assess other suitable routes. If you have already given notice, ask the current provider whether it will agree to change the closure date; cancellation notice is not automatically reversible.

Do I need to tell customers I’m switching providers?

Communicate where the payment journey, billing descriptor, recurring-payment arrangements or customer action changes. Plan communications around the specific setup and any migration requirements.

Can I switch if I’m in a 3-year contract?

The agreement determines the options, notice and financial obligations. Compare staying with switching over the same period and obtain clarification before committing; contract length alone does not establish the result.

How do I avoid switching provider problems?

Review contract obligations, confirm replacement readiness, test payments and settlement, train staff, assess supported contingencies and coordinate equipment and data migration. These steps support planning but cannot establish that the switch will be interruption-free.
